Information you provide
The City of Arcadia, Kansas uses this website to provide public information, receive questions and manage city alert subscriptions. Contact forms collect your name, email address, selected department and message, along with an optional phone number and callback request. Email alert signup collects your email address, selected categories, subscription status and signup and confirmation dates. When you enroll in SMS alerts, the service uses your mobile number, category choices, consent records, any verification records and subscription status.
Staff accounts may contain names, job titles, departments, email addresses, phone numbers and optional profile photos. The staff directory is available to signed-in staff. Names and titles entered for a public department team, public posts, documents and other published city content are visible to website visitors.
How information is used
We use information to respond to your requests, route messages to the appropriate department, manage staff access, deliver the alerts you request, maintain subscription preferences, honor opt-outs and protect the website from abuse. Subscribing to email does not subscribe you to SMS, and providing a phone number for another city service does not enroll you in text alerts.
Email and SMS subscriptions
Email subscriptions require confirmation before announcement emails are sent. You can stop email alerts through the unsubscribe link in an announcement email. SMS enrollment requires separate consent. Reply STOP to a city alert text to cancel SMS alerts, or HELP for assistance. You can also contact City Hall for subscription help. Stopping one channel does not automatically stop another channel you separately selected.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be sold, rented or shared for third-party marketing or promotional purposes. We use messaging service providers, including Brevo and telecommunications carriers, only as needed to operate and deliver the requested messaging service and manage consent and opt-outs.
Service providers and technical information
Namecheap hosts the website. Brevo processes email and SMS delivery information. Cloudflare Turnstile helps protect forms against automated abuse. These providers may process technical information needed to deliver their services, such as IP addresses, browser information, message content and delivery results. Pages may load fonts from Google Fonts, which receives the connection information needed to serve those fonts. External providers handle information under their own policies as well as their arrangements with the city.
The website uses a session cookie to protect forms and maintain staff sign-in. Hosting and security systems may record requests, IP addresses, browser details and errors to operate and protect the service. Blocking cookies may prevent forms or staff sign-in from working.
Access, retention and public records
Access to private website information is limited by staff permissions and service needs. Contact messages are routed to authorized department staff and master administrators; subscriber lists are restricted to master administrators. We retain records as needed to provide city services, document subscriptions and opt-outs, protect the system and satisfy applicable recordkeeping requirements. Unsubscribing stops future alerts but does not necessarily erase historical consent, delivery or city records.
Information submitted to the city may be subject to Kansas public-records requirements and applicable disclosure exemptions. This policy does not promise confidentiality where disclosure is required by law. Please do not send Social Security numbers, payment details, medical information, passwords or other sensitive personal information through ordinary website forms.
Your choices and security
You may browse public pages without creating a staff account or subscribing to alerts. Contact City Hall to request help correcting information or managing a subscription; any deletion request remains subject to applicable recordkeeping requirements. We use HTTPS, staff authentication and access controls to help protect information. No internet transmission or storage system can be guaranteed completely secure.

Links to outside websites are provided for convenience. Their privacy practices are governed by their own policies. Updates to this policy will appear here with a revised effective date. Changes to the purpose of an alert subscription will require any additional consent needed for that change.
